GENERAL INFORMATION

  1. When can I opt into the Oracle Calendar?
    Currently enrolled students can opt into the Oracle Calendar on Tuesday, March 6, 2007.
  2. What is Oracle Calendar?
    The Oracle Calendar is Cal Poly’s campus calendar. It is now available to everyone at Cal Poly. It is used by most staff, some faculty and students who have opted in.
  3. Why do students have to opt into the calendar?
    Because the Family Educational Rights and Privacy Act of 1974 (FERPA) provides strict privacy protections to students.

PRIVACY

  1. What is FERPA and how does it relate to the Oracle Calendar?
    By opting into the calendar, you have accordingly acknowledged waiver of any FERPA (Family Educational Rights and Privacy Act of 1974) rights as they pertain to Calendar. Any other person with a Cal Poly calendar account will be able to see your full name and email address.

    You may control visibility and access to the entries within your calendar. Visit “Important Information” on the Cal Poly Calendar Web site at: http://email.calpoly.edu/calendar for instructions.

    You may update or check your FERPA status at http://my.calpoly.edu > Personal Info tab > My Student Info > FERPA. If you change your FERPA status through My Student Info on the Portal, this change will NOT be automatically propagated to the Calendar system. It is your responsibility to go to the Personal Info channel on the Portal at http://my.calpoly.edu and opt in or out of the Calendar as you wish.

    Students may have alternate roles at Cal Poly (such as student assistant, teaching assistant, etc). These roles may require use of the
    Calendar. In such situations, it is the students’ responsibility to opt-in to and waive their FERPA status as required by that role. When such a role is completed, they may continue to use the Calendar, or opt-out as they wish.
  2. How can I control visibility and access to the entries within my calendar?
    You may control visibility and access to the entries within your calendar via the Access Rights settings in the calendar.

  3. If I have not opted into the Oracle Calendar can someone still make an appointment with me?
    If you have never opted in, the calendar does not exist so someone cannot invite you to a meeting. If you have recently opted out and your calendar has not yet been deleted, someone could invite you to a meeting. See OPTING OUT.

    Yes, in OCS web click Help in the upper right hard corner.

OPTING IN

  1. How do I opt into the Oracle Calendar?
    Log into the My Cal Poly portal at http://my.calpoly.edu
    Go to the Personal Info Tab
    Go to the Personal Information Channel
    In the Calendar Opt-In field, choose Update

  3. Will new students have the ability to opt into the Oracle Calendar?
    Brand new students can opt into the Oracle Calendar a day or two after they register for classes.
  4. Are students employed on campus required to opt into the Calendar?
    Students may have alternate roles at Cal Poly (such as student assistant, teaching assistant, etc). These roles may require use of the

INFO ON OPTING OUT AND DELETING ACCOUNTS

  1. I recently opted out of the calendar. Why is my single click still showing up and why are people still seeing my calendar?
    After opting out of the calendar, your account will be deleted using the normal Calendar account purge process. This may take up to 5 weeks to complete. Contact the ITS Service Desk at (805) 756-7000 if you have an urgent Calendar issue or question

When you opt out, please be aware of the following.

  • Your account will be deleted using the normal calendar account purge process, which may take up to 5 weeks to occur. Contact the ITS Service Desk at (805) 756-7000 if you have an urgent Calendar issue or question.
  • The delete action is irreversible. The contents of your account and any associated meetings cannot be recovered.
  • When your account is deleted, your entries as attendees at all meetings, daily notes, events, tasks and other entries will be deleted.
  • Any meetings which you scheduled will be deleted and will be removed from the calendars of their attendees.
  • If you are using MS Outlook software with the Oracle Connector for Outlook (OCFO), your contacts will also be deleted.
  • You may later establish a brand new account, in the same name, by choosing 'Opt-in' through the Portal.

USING THE CALENDAR

  1. Can I access the Oracle Calendar from home?
    Yes. You can access the calendar from anywhere in the world via the My Cal Poly portal.
  2. How do I view my calendar? What applications work with the Calendar?
    You can use one of three methods to view your calendar.

    The Oracle Calendar Web Client via the My Cal Poly portal requires no special configuration, is automatically available to you upon logging into the portal and is supported by the ITS Service Desk. It is available from any location and will work with Microsoft VISTA. The Calendar Web Client is the HIGHLY recommended client for students.

    The Oracle Calendar Desktop Client is software that can be downloaded from the My Cal Poly Portal Software Download channel and installed on your computer. The ITS Service Desk can provide limited support to students using this client.     Oracle Connector for Outlook (OCFO) is a desktop application that allows one to view their email and calendar through a single application. Set-up is more complex and if a calendar is deleted, contacts in OCFO will be lost. This application is not supported by the ITS Service Desk and is NOT RECOMMENDED FOR STUDENTS unless they are employed at Cal Poly and the software is required and supported by their department.   3. When I log into the Cal Poly Portal I use my Cal Poly username. Will I use the same information for accessing the Oracle Calendar outside of the Portal?
    Yes. Be sure to always use your full Cal Poly username (e.g. jmustang@calpoly.edu) when configuring and logging into desktop clients.
  4. Can I have an Oracle Calendar and not use Oracle Email because right now I have a redirect on my email?
    Yes

COMPATIBILITY WITH NEW TECHNOLOGY / DAYLIGHT SAVING TIME

  1. Does the Oracle Calendar work with Windows Vista?
    The Oracle Calendar Web Client available through the My Cal Poly Portal will work with Windows Vista.
  2. Will the Oracle Calendar sync with my cell phone? PDA?
    The Oracle Calendar Web Client will not communicate with smart phones or pda’s. Blackberries are not compatible with Oracle email and calendar. Other devices like Verizon Treo 700p’s are configurable, but it is a complex set-up. In addition, changes to the Daylight Saving schedules have resulted in problems. Cal Poly is currently testing these applications with Vista. Limited on-line support is available at the PDA Web site (http://pda.calpoly.edu).
