E-mail as an Official Means of Communications with Students
Ad Hoc Data Request |
Form used by departments to request data from Information Technology Services, including student e-mail addresses, for a specific authorized use. Requires specific campus approvals before data can be released. |
Alias |
A distribution list containing all the @calpoly.edu e-mail addresses of the members of a specific target group, e.g., students in a specific college |
Broadcast Message or Mass Mail |
A message directed to all students, faculty, staff, employees, etc. Requires senior management review and approval. |
FERPA |

Forwarded E-mail |
An e-mail sent to an address that is automatically sent via computer code to another e-mail account. |
Manager or Authority |
The senior management employee in a department or functional office. |
Official E-mail Account |
An e-mail account issued by Information Technology Services, which is based on a person’s username, and ends in @calpoly.edu. |
Preferred E-mail Address |
The e-mail address to which e-mail sent to a user’s @calpoly.edu is delivered. The default setting is the user’s campus e-mail account. This setting can be modified by the user to forward messages sent to their @calpoly.edu address to an unofficial e-mail account. |
Senior Management |
President, Provost, or Vice President. |
Unofficial E-mail Account/Address |
An e-mail account issued by a non-University internet service provider (ISP) or web-based e-mail service. Email accounts on departmental servers. Any e-mail address not ending in @calpoly.edu. |
